Overview

We are seeking a dedicated and highly organized Executive Administrator to provide comprehensive administrative support exclusively to the CEO. This is a critical role that requires discretion, exceptional organizational skills, and the ability to handle both professional and personal responsibilities with equal professionalism.

 

Anticipated Start: August 2025

Position Type: Full-time

Schedule: 8:00 AM - 5:00 PM or 9:00 AM - 5:00 PM (with 1-hour lunch break) 

Location: This is an on-site position - Studyville Corporate Office, Baton Rouge, LA 

Reports To: CEO (exclusively) 

Compensation: $22-25 per hour

Responsibilities

Calendar & Schedule Management

  • Maintain and manage CEO's complex calendar across multiple time zones
  • Schedule and coordinate meetings, conferences, and appointments
  • Prioritize and reschedule conflicts as needed
  • Send calendar reminders and prep materials for meetings
  • Block time for strategic work and personal commitments

Travel Coordination

  • Research, book, and manage all business and personal travel arrangements
  • Create detailed travel itineraries including flights, hotels, ground transportation
  • Handle travel changes, cancellations, and emergency rebooking
  • Coordinate travel logistics for accompanying staff when needed
  • Manage travel expense reporting and documentation

Communication Management

  • Screen and prioritize incoming calls, emails, and correspondence
  • Draft, edit, and send communications on behalf of the CEO
  • Maintain professional phone etiquette and customer service standards
  • Coordinate communication between CEO and internal/external stakeholders
  • Handle confidential and sensitive information with discretion

Digital Organization & File Management

  • Organize and maintain digital filing systems in Google Drive
  • Create and manage shared folders with appropriate permissions
  • Establish naming conventions and folder structures for easy retrieval
  • Archive and organize emails in Gmail with proper labeling systems
  • Maintain document version control and collaboration workflows
  • Backup and organize important digital assets
  • Create and maintain digital databases and contact management systems

Administrative Support

  • Prepare presentations, reports, and documents
  • Maintain physical filing systems and office organization
  • Handle expense reports and reimbursements
  • Coordinate board meetings and prepare materials
  • Manage contracts, agreements, and important documents
  • Process invoices and coordinate with accounting
  • Maintain office supplies and equipment for CEO's office

Personal Assistance

  • Run personal errands as requested (banking, shopping, appointments)
  • Coordinate personal travel and family logistics
  • Manage personal calendar items and appointments
  • Handle personal correspondence and communications
  • Coordinate home/personal service providers as needed

Project Support

  • Assist with special projects and initiatives
  • Conduct research and compile information
  • Coordinate cross-departmental collaboration
  • Track project deadlines and deliverables
  • Prepare status reports and updates

Qualifications

Required Qualifications

  • Minimum 5+ years of executive assistant or administrative experience
  • 3+ years supporting C-level executives specifically
  • Bachelor's degree preferred
  • Exceptional organizational and time management skills
  • Outstanding written and verbal communication abilities
  • Advanced proficiency in Microsoft Office Suite and Google Workspace (Gmail, Google Docs, Google Drive, Google Sheets)
  • Expert-level experience in organizing and managing digital files and folder structures
  • Experience with calendar management systems and travel booking platforms
  • Strong customer service orientation and professional demeanor
  • Ability to handle confidential information with absolute discretion
  • Flexibility to handle both professional and personal tasks
  • Valid driver's license and reliable transportation
  • Ability to work independently with minimal supervision

  • Familiarity with expense management systems
  • Multi-language capabilities (bonus)

Pay Range

USD $22.00 - USD $25.00 /Hr.
